Privacy Policy
BrownTuition Ltd ("BrownTuition", "we", "us", "our") is committed to protecting the privacy of everyone who uses our website and services. This policy explains what personal data we collect, why, and how we look after it, in line with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
1. Who We Are
The data controller responsible for your personal data is BrownTuition Ltd. This means BrownTuition Ltd decides how and why your personal data is processed.

References to "BrownTuition", "we", "us" or "our" in this policy mean BrownTuition Ltd.
2. What Data We Collect
We collect personal data when you choose to give it to us:
- Enquiry form: your name, phone number and email address.
- Booking a free diagnostic (via our booking calendar): your name, email address and the answers you give to the booking questions, such as your child’s year group.
- Holiday workshop interest form: your name, email address, the programme you’re interested in and which holidays could work.
- Free guide request: your email address and, if you choose, your first name.
- Tutor applications: covered by our separate Applicant Privacy Notice.
- Email, phone or WhatsApp: whatever you choose to share when you contact us.
- Once tuition begins: the information we need to teach your child and keep you updated, such as their name, year group, topics covered, progress notes and session records, plus the details needed to invoice you.
We do not collect payment card details. Payments are made by bank transfer.
3. Information About Your Child’s Needs
Some parents choose to tell us about a learning difference, special educational need (SEND) or health condition, for example dyslexia, dyscalculia, dyspraxia, ADHD or autism, so that sessions can be adapted to suit their child. Some of this may count as “special category” data under UK GDPR, which needs extra care.
- You never have to share this information. Please only share what you are comfortable providing, and only what helps us teach your child.
- We rely on your explicit consent to use this information. We will ask for it before recording any such details, and you can withdraw it at any time.
- We don’t ask for medical reports, diagnoses or EHCP documents in our enquiry or booking forms.
- We use this information only to tailor your child’s tuition. It is shared only with the tutor working with your child, and never used for any other purpose.
- You can ask us to update or delete it at any time.
4. How We Use Your Data
- To respond to your enquiry and talk to you about tuition
- To arrange, deliver and manage tuition sessions
- To send progress updates to parents and guardians
- To send the free guide you requested
- To send occasional term-time tips, only if you ticked the box to receive them (you can unsubscribe at any time)
- To keep financial and business records we are required to keep
- To understand how the website is used, through analytics, only if you accept analytics cookies
We do not sell your personal data. We do not use it for automated decision-making or profiling.
5. Our Lawful Basis
- Contract: to take steps you ask for before tuition begins (such as responding to an enquiry or booking a diagnostic) and to deliver tuition once agreed.
- Legitimate interests: to run and improve our business and reply to general messages.
- Legal obligation: to keep financial and tax records.
- Consent: for analytics cookies and for term-time tips emails. You can withdraw consent at any time.
- Explicit consent: for any information about your child’s health, disability or special educational needs that you choose to share (UK GDPR Article 9).
6. Who We Share Data With
We only share personal data with service providers where it is needed to run BrownTuition, and with the tutor working with your child. The providers we use are:
- Netlify: website hosting and processing of website form submissions
- TidyCal: our online booking calendar (its booking widget is delivered from TidyCal’s content delivery network)
- Google Workspace (Google): our business email, used to receive and reply to your messages
- Zoom or Google Meet: to run online tuition sessions
- WhatsApp: only if you choose to message us on WhatsApp
- Google Analytics: website usage statistics, only if you accept analytics cookies
- Google Fonts: the website’s fonts are loaded from Google’s servers, so your browser shares your IP address with Google when a page loads
Each provider has its own privacy policy. Some of these providers are based in, or may process data in, countries outside the UK. Contact us if you would like more information about how your data is protected when this happens.
7. Data Retention
- Enquiries that don’t lead to tuition: up to 12 months, so we can pick up where we left off if you get back in touch.
- Student records: for the duration of tuition plus 12 months.
- Financial records (such as invoices and payment records): 6 years from the end of the relevant company accounting period, as required for Corporation Tax, or longer where the law requires.
- Term-time tips mailing list: until you unsubscribe.
You may ask us to delete your data at any time (see Section 9), although we may need to keep records the law requires us to hold.
8. Data Security
We take reasonable technical and organisational measures to protect your data. Email and communication accounts are password-protected with two-factor authentication enabled.
9. Your Rights Under UK GDPR
You have the right to:
- Access: request a copy of the personal data we hold about you
- Rectification: ask us to correct inaccurate data
- Erasure: ask us to delete your data
- Restriction: ask us to limit how we use your data
- Objection: object to our processing of your data
- Portability: request your data in a machine-readable format
- Withdraw consent: where we rely on consent, you can withdraw it at any time
To exercise any of these rights, email tutors@browntuition.co.uk. We will respond within one month. You also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk.
10. Children’s Privacy
Our services are provided to children (under 18) with the consent and involvement of their parents or guardians. We collect information about students from their parents or guardians, not directly from students. We do not communicate with students directly without parental involvement.
11. Changes to This Policy
We may update this policy from time to time. The “last updated” date at the top of this page will show when it last changed. Significant changes will be communicated by email to active clients.
Cookie Policy
This page explains the cookies and similar technologies (such as your browser’s local storage) that this website uses. Under UK law (PECR), we ask for your consent before using any that are not strictly necessary.
What Are Cookies?
Cookies are small text files a website stores in your browser. Local storage is a similar browser feature that lets a website remember small pieces of information on your device. Neither can access other files on your device.
Browser storage we always use
These are not cookies. They are small local storage entries that remember your choices, and they are never sent to us or anyone else:
- bt-cookies: remembers whether you accepted or rejected analytics cookies. Kept until you change your choice or clear your browser data.
- bt-resit-dismissed: remembers that you closed the results-day banner on the homepage.
- bt_guide_seen / bt_guide_got: stop the free-guide pop-up from reappearing too often.
Analytics cookies (only with your consent)
If you click “Accept”, we load Google Analytics 4 (provided by Google) to understand how visitors use the website so we can improve it. The Google Analytics script is not loaded at all unless you accept.
- _ga: distinguishes visitors. Expires after up to 2 years.
- _ga_D6RMYCE6R0: keeps track of your visit for our Google Analytics property (G-D6RMYCE6R0). Expires after up to 2 years.
Google Analytics records information such as pages visited, time on site, approximate location (city level), and device and browser type. Google states that Google Analytics 4 does not log or store IP addresses. We look at this information in aggregate and do not use it to identify individual visitors. If you later reject analytics, we stop Google Analytics and delete these cookies from this website. You can also use Google’s opt-out browser add-on.
Booking calendar
The booking calendar on our Book page is provided by TidyCal and may use its own cookies or storage to work. Please see TidyCal’s privacy policy for details.
Changing Your Choice
You can change your choice at any time using the button below or the “Cookie settings” link in the footer of every page. You can also manage or delete cookies and local storage through your browser settings.
Terms of Use
These terms apply between you and BrownTuition Ltd (registered in England and Wales, Company No. 15214958, Registered Office: 20-22 Wenlock Road, London, N1 7GU). By using the BrownTuition website and services, you agree to these terms. Please read them carefully.
Nothing in these Terms affects your statutory rights as a consumer.
1. Services
BrownTuition Ltd provides private mathematics tuition services for students from Year 5 to Year 11 (KS2 transition, KS3 and GCSE) and GCSE resit students. Tuition is delivered by Mr J Brown, a qualified teacher, and/or by appropriately selected BrownTuition associate tutors trained and overseen by Mr Brown. Your contract for tuition is with BrownTuition Ltd.
2. Bookings and Payment
- Payment is by bank transfer and is normally taken after sessions have been delivered. Parents and guardians who prefer to pay in advance, per session or as a block, may arrange this with us.
- Invoices are issued by email.
- Prices are as listed on the Services page and are subject to change with reasonable notice.
- Block booking discounts are offered at BrownTuition Ltd's discretion and are not guaranteed.
- The free diagnostic and free parent call are free of charge, and booking them does not commit you to any further tuition.
3. Cancellation Policy
- Cancellations made more than 48 hours before a session: no charge (or a full refund if you have paid in advance), or we can reschedule.
- Cancellations made within 48 hours of a session: 50% of the session fee is charged.
- No-shows without notice: the full session fee is charged, unless the missed session was due to a genuine emergency.
- BrownTuition reserves the right to cancel or reschedule sessions with reasonable notice. In such cases, a full refund or alternative date will be offered.
- Ending tuition: there is no minimum term. You can stop tuition at any time by letting us know. Any session within the next 48 hours is covered by the cancellation terms above, and any advance payment for sessions not yet delivered will be refunded.
- Your 14-day right to cancel: if you agree tuition with us online, by email or by phone, you normally have the right to cancel within 14 days of the agreement, without giving a reason. If you ask for sessions to begin within those 14 days and then cancel, you may be asked to pay for the sessions already delivered. To cancel, email tutors@browntuition.co.uk.
4. Safeguarding
The safety and wellbeing of every student comes first. In practice, this means:
- Checked tutors: Mr Brown holds a current Enhanced DBS certificate, has Qualified Teacher Status (QTS) and is trained in safeguarding best practice. Every BrownTuition associate tutor must hold an Enhanced DBS certificate, provide references, and complete identity and right-to-work checks before they work with any student. Mr Brown reviews every DBS certificate personally. DBS details are available to parents on request.
- Parents stay involved: all scheduling, feedback and progress updates go through the parent or guardian. Parents are welcome to observe any session, and may record online sessions for their own oversight.
- Clear boundaries: we do not communicate with students under 18 outside of scheduled tuition sessions.
- Raising a concern: you can raise any concern at any time by emailing tutors@browntuition.co.uk. Concerns are read directly by Mr Brown, BrownTuition’s safeguarding lead, and treated seriously and confidentially.
If you believe a child is in immediate danger, call 999. You can also get advice from the NSPCC helpline on 0808 800 5000.
5. Intellectual Property
All materials produced by BrownTuition for use in sessions (worksheets, plans, resources) remain the intellectual property of BrownTuition. They may not be reproduced, shared or sold without written permission.
6. Limitation of Liability
BrownTuition makes no guarantee of specific grade outcomes. Results depend on many factors including the student's effort, attendance and engagement. We are committed to providing the highest quality tuition but cannot be held liable for examination results.
Nothing in these Terms limits or excludes our liability where it would be unlawful to do so, including liability for death or personal injury caused by negligence, or for fraud.
7. Website Use
This website is provided for information and enquiry purposes. You agree not to misuse it, attempt to gain unauthorised access to any part of it, or use it in any way that is unlawful or harmful.
8. Governing Law
These terms are governed by the law of England and Wales. Any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.
