Applicant Privacy Notice
1. Who We Are
The data controller is BrownTuition Ltd, registered in England and Wales, Company No. 15214958, Registered Office: 20-22 Wenlock Road, London, N1 7GU. Director: Mr J Brown. Contact: tutors@browntuition.co.uk.
2. What We Collect
- Your application: your name, email address, phone number (optional), current status, degree subject, institution, availability and what you tell us about why you want to join.
- If we move forward: notes from your structured interview, your references, identity and right-to-work documents, and your Enhanced DBS certificate. These checks are completed before you work with any student.
3. Why We Use It
- To consider your application and contact you about it
- To decide whether you are suitable to work with children and young people
- To confirm your identity and your right to work in the UK
- To arrange training and induction if your application is successful
We do not sell your data or use it for marketing.
4. Our Lawful Basis
- Taking steps before entering into an agreement with you: considering your application at your request.
- Legitimate interests: recruiting suitable tutors and keeping students safe.
- Legal obligation: right-to-work checks, where these apply.
DBS certificates contain criminal record information, which the law requires us to handle with extra care. It is seen only by Mr Brown and used only to decide whether you can safely work with children.
5. Who We Share It With
With your knowledge, we contact the referees you give us. Otherwise, your application is shared only with the service providers needed to receive and manage it: Netlify (website hosting and form processing) and Google Workspace (our business email). Some providers may process data outside the UK. Contact us if you would like more information.
6. How Long We Keep It
- Unsuccessful applications: up to 6 months after we let you know our decision.
- Successful applicants: your application becomes part of your tutor record for as long as you work with us.
- DBS information: we don’t keep copies of DBS certificates for longer than necessary.
7. Your Rights
You have the right to access, correct or delete your data, to restrict or object to how we use it, and to data portability. Email tutors@browntuition.co.uk and we will respond within one month. You can also complain to the Information Commissioner’s Office at ico.org.uk.
